Planning Your Walt Disney World Vacation: How to Choose the Right Dates, Resort, and Game Plan

Hey friend!

If Disney World vacation planning has been on your mind, you are in exactly the right place and I am so glad you’re here. There is truly nothing like the magic of those parks, and I am genuinely excited to help you get there.

Here’s what I want you to know right away: you do not have to have everything figured out before you start. But you do need to start. The families who have the best Disney experiences are almost never the ones who waited until the last minute to make decisions. They’re the ones who got clear on a few key things early, and let everything else fall into place from there.

There are three decisions I want to walk you through today. These are the ones that matter most and the ones that will shape every other choice you make about your trip.

  • When do you want to go?
  • Where do you want to stay?
  • How will we secure your reservation when the time comes?

Let’s take them one at a time.

Decision 1: When Do You Want to Visit Walt Disney World?

One of the most Googled questions in the Disney world is: when is the best time to go?

Honestly? The answer is: it depends entirely on your family.

Some families define “best” as lowest crowds. Some care most about mild weather. Others want longer park hours, special seasonal events, or they simply need to work around school schedules and budgets. There is no single perfect week that checks every box for every family. Chasing someone else’s version of ideal is a fast track to disappointment.

Here’s what I mean. A few years ago, I had two families reach out around the same time, both asking me when they should go. The first family had a toddler and a newborn and wanted mild weather above everything else. We landed on late January, and it was perfect for them. Manageable crowds, cool temperatures, no school conflicts. The second family had older kids with packed school and sports schedules and extended family flying in from three different states. For them, summer was the only window that worked, period. Was it hot? Yes. Were there crowds? Of course. Did they have the time of their lives? Absolutely. Because it was the right trip for their family, not someone else’s itinerary.

So instead of asking “when is the best time,” start with YOUR calendar. Ask yourself:

  • When will it absolutely not work for your family?
  • Are you comfortable taking kids out of school, or does that stress you out?
  • Do you prefer cooler weather, even if it means visiting in a slower season?
  • Are holiday decorations or special events like Mickey’s Not-So-Scary Halloween Party or EPCOT’s Food and Wine Festival on your wish list?

Here’s something important to keep in mind while you’re thinking this through: Disney uses dynamic pricing. As resort availability fills up, rates go up. Locking in your dates early does not just protect your sanity. It protects your investment too.

And as I shared in my earlier post about Disney World vacation packages, it only takes a $200 fully refundable deposit to lock in your dates and pricing. So, if you are even a maybe on a trip, there is no real reason to wait.

Decision 2: Which Disney Resort Is Right for Your Family?

Did you know Walt Disney World has more than 30 on-site resorts? And that doesn’t even count the off-site options.

They range from value-friendly properties with incredible theming to deluxe resorts where you can watch giraffes wander past your balcony with your morning coffee. Each resort has its own personality, transportation access, pool situation, dining options, and overall vibe.

The best resort is simply the one that fits your family. Full stop.

I’ll be honest with you. My first Disney trip with my daughter Madison was at Port Orleans Riverside. It wasn’t my first choice. Our budget and availability pointed us there. And you know what? Madison got a princess room with a light-up headboard and thought she had died and gone to heaven. I came home obsessed with that resort. What I thought was a compromise turned out to be exactly right for that season of our lives. Now I’ve stayed at and recommended resorts across every tier, and what I’ve learned is that there is magic to be found everywhere. My job is to help you find the magic that matches your family.

When we are narrowing down your resort options, here’s what we will think through together:

  • Your overall vacation investment and what feels comfortable
  • How many people are traveling and what room configuration you need
  • Transportation preferences: do you want monorail access, the Skyliner, or walking distance to a park?
  • Pool and recreation priorities, because Stormalong Bay at Beach Club hits very differently than a standard hotel pool
  • Dining access and what’s within walking distance
  • Proximity to the park or parks you are most excited about

Disney groups its resorts into three main categories: Value, Moderate, and Deluxe. Each offers a genuinely different experience. I’ve put together a free Disney Resort Guide that breaks down my top picks in each tier with honest notes on who each resort is really best for. If you haven’t grabbed it yet, go get it. It’s a great starting point for this decision!

Decision 3: How Will We Secure Your Reservation?

Once you know your dates and have a resort in mind, the next step is getting on the books. And this is where being prepared really pays off.

Disney World vacation packages are released once per year for the upcoming travel year. When they drop, things move fast. I’m talking hours, not days, for popular resorts and prime travel windows. The families who are already clear on their dates, their resort preference, and their travel party details are the ones who get their first choice. The ones who are still deciding often end up with Plan B.

Here is what I need from you to place a hold efficiently:

  • The names and ages of everyone traveling
  • Your top travel dates, plus a backup window if your dates have any flexibility
  • Your resort preference, or a short list if you’re weighing a few options

If you have flexibility on dates or resort, I can put together a comparison proposal so you can see your options side by side before we commit to anything. And if you are still working through the budget piece, that is completely okay. I can give you guidance on average seasonal pricing so you know what aligns with your family’s goals before we ever lock anything in.

One of my favorite release day stories involves a family of five who had been on my waitlist for months. They had done the prep work: dates locked, resort preference clear, everyone’s names and ages ready. The moment packages opened, I had their hold placed within the first hour. A few weeks later, Disney released a Stay More, Save More promotion. Because they had booked early at a deluxe resort, they qualified and ended up with a seven-night stay at a price that would have made your jaw drop. That is what being prepared AND being early looks like in practice.

Why This Planning Phase Actually Matters

So when should you actually book? Three good windows: the moment Disney World vacation packages release for the year, whenever a promotion drops that fits your dates and resort, or honestly, whenever you feel ready. There’s no secret window you have to catch.

Booking right when packages release locks in the lowest base pricing before demand pushes rates up. I break down exactly why that timing matters in my earlier post on Disney World vacation packages. But say a promotion drops after you’ve already booked. You’re not out of luck. Once your reservation is secured, I keep an eye on it, and if a new discount applies to your dates and resort, I apply it and let you know it happened.

Prices drop sometimes too, not just promotions. Same thing applies. I’m watching for that too, and if you qualify for a lower rate, I move you onto it. You don’t have to track any of this yourself. That’s my job now, not yours.

There’s no wrong time to start. Book early and you’ll likely see more options and better pricing. Book later and I’ll still fight for the best version of your trip I can get you. Either way, I’ve got it.

How the Process Works With Me

Working together starts with one simple step. Book a consultation call. That’s where we actually get to know each other. I ask about your family, your travel style, what you’re picturing for this trip, and you get a feel for how I work too.

Schedule Your Consultation Call

From there, I put together real options based on everything we talked through: your ideal dates, resort priorities, your travel party. Not a guess. Not a generic package. Choices built around what you actually told me you want.

Once you pick your direction, we lock it in with a deposit. That’s the moment your dates and pricing are secured, done, yours.

Then comes the part I love most. We dig into the details together: dining reservations, park strategy, the little special touches that make a trip feel like yours instead of a copy-paste itinerary. I’m doing the heavy lifting behind the scenes so you’re not buried in tabs and spreadsheets at midnight.

Planning your Disney vacation should feel exciting, not overwhelming. This is your family’s time. These are the memories you’ll actually keep. You deserve someone in your corner who cares about getting it right, not just getting it booked.
